Process and Project Level Permissions
VDR (Virtual Data Room) Permissions
What's Different?
One of the major differences between Core (v1) and Midaxo+ (v2) is how Users and Permissions are managed. User roles are no longer Process based, but are now Group based. Project Members are now required to be in a Group to access Projects.
User roles and Permission Levels
Midaxo user permissions can be managed over four levels:
- User role, accessible at user creation and in user profile;
- Process Groups, to grant Admin access for a single Process. This replaces the Process Admin role in Core.
- Group membership, available for users with Project member and VDR roles.
- Task permissions, a Deal+ feature available in the tasks section of each Midaxo project.
Clarification: Midaxo workspaces are logically isolated Midaxo instances available for your organization's account for an extra fee. Unless you already know your organization has access to more than one workspace, then you can safely assume workspace = your organization in Midaxo.

Core (v1) User Role | New Midaxo+(v2) Role | Explanation |
Company Admin | Administrator | In Midaxo+ Administrators can access ALL Processes. |
Defined Process Admin | Project Member (Process Group: Admin; Project Group: Admin) | Project Members cannot add Users. |
Process Admin | Project Member (Process Group: Admin; Project Group: Admin) | Process Admin Groups gives a Project Member Admin access to all Projects within the Process (managed under Settings). |
Project Creator | No equivalent role | Temporarily, Project Members can NOT create new Projects. |
Project Member | Project Member (Process Group: Member). | Like in Core, Project Members can only access Projects they have been added to. |
VDR User | VDR guest | Virtual Data Room Users have a different UI in Midaxo+. See VDR Permissions for details. |
Contact User | Workspace Access toggle | To block a User from logging in, while still preserving their history of work, open the User's profile and toggle off Workspace Access. |
Process groups (Admin, Member)
Process Groups are managed under Settings. Use the Process group to segregate and manage users’ knowledge to certain Processes within your organization.
Processes and their Projects are not visible to a Project Member unless the project member is part of one of that Process’s groups. There are two types of Process Groups:
- Users in an Admin Process Group can access all Projects in that Process AND can manage the Group membership in that process (i.e. create/remove/edit other process groups). They can also create new Projects.
- Project Members and VDR Guests will only be able to access Processes if they are in that Processes' Member Process Group, and will only see projects they’ve been given access to. They will NOT see the names of Processes they don't have access to in their Process drop down (top left gray box).
- Process groups can be created by Admins, Power Users, and, Associates and Project Members who are in Process Admin group.
