After your Cover Page Fields and Pipeline Stages have been configured, please follow the guidelines below to import NEW Projects into your Pipeline via Excel.
To update existing Projects via Excel, please see the instructions here.
If this is your first time importing Projects via Excel, we strongly recommend starting with a small subset of Projects (1 - 5 Projects) so that if any issues arise, they can be easily fixed by manually deleting the newly create Projects.
Projects can NOT be deleted in bulk so if there are issue you would need to delete the Projects one by one.
STEP 1: Format Excel for Import
- Excel version must be .xlsx, outdated versions like .xls cannot be imported.
- Each Row represents a Project.
- Row 1: Include columns for Project Name, Project Stage, and Cover Page field names you would like to import data to, with one column for each field.
- In Excels with multiple sheets, the left-most sheet will be imported.
Include Columns for:
- Project Name
- The only required field for import.
- This is what will show up in bold on the Pipeline cards. Typically, it is a company name or code name, depending on where the deal is in your M&A Pipeline.
- Project Stage
- It's highly recommended that you configure your Pipeline Stages before importing deals so that you do not need to manually move your Projects to the desired Stage.
- If you include a column header for Project Stage, then a Stage MUST be entered or those Projects will NOT import.
- If you do NOT include a column header for Project Stage, then the Projects will automatically import to the left-most Stage.
Other Fields:
- Dates: Must use the Short Date format in Excel that is shown in "More Number Formats" with an asterisk (this ensures that Dates update based on your time zone).
- Single Choice/Multiple Choice: Data must be an exact match for an existing Choice option. It is recommended that you copy and paste wording directly from Midaxo to ensure the data maps correctly.
STEP 2: Import Data
- To import Pipeline data, from the Pipeline or Grid view click the green downwards arrow > Excel: Import project from Excel (.xlsx).
- Select your Excel sheet > Open.
- Review your data carefully and note the number of existing vs. new Projects that are being imported. Existing Projects will be highlighted in yellow.
- IMPORTANT: Existing Projects are recognized in Midaxo by their unique Project ID number, NOT by the Project Name. The Project ID can only be found by exporting your data from the Grid view to Excel. The ID will be found in the left most column of your export.
- Column headers will map to their corresponding fields, however you should review each column to ensure they are being imported to the correct field. If a field is not mapped or is mapped incorrectly, click the drop down arrow and select the correct field.
- After carefully reviewing all data, click Import in the lower right corner.
- Once the import is complete, you will see a message that says "Project import completed successfully".
- If there are errors, download the error report to review.
Errors
- As noted above, when importing to a Single or Multiple Choice field, if the data in Excel is not an exact match for one of the choices for that field in Midaxo, you will receive an error on the import preview page.
- Errors are highlighted in red, and error messages reference the column and row that the error is found on.
- In the example below, the only available choice values for "Region" are Americas, APAC, or EMEA, but the Excel sheet referenced "USA". To remedy this, close the import dialog by clicking the X in the top right corner and then:
- Change the available choices in Midaxo to match your Excel by going to Settings > Process Settings > Cover Page, OR
- Edit the Excel sheet to match the choices in Midaxo.
