Welcome to Midaxo, we're glad you're here! In this tutorial, we will guide you through the initial steps needed to get your data uploaded into the platform. We will show you how to configure Pipeline Stages, Cover Page fields as the Pipeline Card. By the end of this article, you will be ready to import your Pipeline Tracker into the platform. Once your data has been uploaded, we will begin the next section which is adding in Users and Groups.
Before your Pipeline Tracker can be imported, you need to configure the Stages and Cover Page template within Midaxo. In your Pipeline Tracker, every target needs to be assigned to a Stage (or column) and the Fields (your data) must be mapped within the Cover Page template. Every column header in your Pipeline Tracker (except for Target Name and Stage) needs to be reflected in the Cover Page template as a Field.
Watch the video below for an overview of the steps we are about to take. Then, follow Steps 1- 4 below.
Step 1: Configuring the Pipeline Stages
When logged into Midaxo, select Settings in the upper-right corner > then Process Settings
Select Pipeline Stages from the column on the left side
During account creation, Midaxo will have added in our 'best practice' Pipeline Stages. You may edit these names by clicking in-line with the Stage name.
To create additional fields, click on the +Add a new stage button located at the far right side of the page. use the scroll bar, if needed.
Under each Stage name, you will find a description section which provide the criteria in order for each target to continue through the process. These details can be edited by clicking in the respective section.
Click on the red trash can icon at the bottom of a Stage to delete it.
* Additional customization options are available, but not required.
Step 2: Configuring the Cover Page template
If you are still in the section where you setup your Pipeline Stages, select Cover Page from the column on the left.
If not, select Settings in the upper-right corner > then Process Settings
Select Cover Page from the column on the left side
During account creation, Midaxo will have added in our 'best practice' Groups and Fields within the Field List. Groups are your Headings which define the category, while the Fields within each Group are the data points.
Lets begin with Groups:
To edit an existing Group name, click on the pencil icon in line, to the right of the name.
Please Note: If the Group does not have the edit icon, the Group name is fixed and cannot be changed.
New Groups can be added to your Cover Page by clicking +Add new group located at the top of the Field List.
Whether editing an existing group or creating a new group, you will see additional capabilities which may be toggled on (and off) at your discretion.
- Hidden Groups are not visible for any User on the Cover Page. These Fields sit in the background not available for use, but can be easily added back to the Cover Page by deselecting the toggle.
- Confidential Groups contain fields which are only visible to a select group of Users. We will cover this more when we get to Permissions.
Determine if either of these need to be on, and click Save
Once the Group has been added, click on the new group and drag it to the desired location.
* The Preview section on the right will reflect the changes.
Before a Group can be deleted, all Fields within the Group must be archived or relocated to another Group.
- Relocate Fields by clicking on the line and dragging it to another Group section.
- Fields can be archived by clicking on the 'red line in the box' icon, next to the pencil. Archived Fields will not be appear on your Cover Page.
- Archived Fields can be found in the Archived Fields section by scrolling to the very bottom of the Field List. Fields can be un-archived by clicking in line and dragging it into an active cover page Group.
- If you click on the trash can icon for a Field while it is Archived, that Field will be deleted out of Midaxo.
Once all Fields have been moved, a red trash can icon will appear next to the Group name, click the trash can.
Next, lets review Fields:
Existing Fields can be edited by clicking on the pencil icon; to Archive a Field click on the red line.
Please Note: If the Field does not have the pencil icon or the red line, it is a fixed Field and cannot be changed.
Additional Fields can be added by clicking the +Add new field button, located at the bottom of each Group.
Please Note: If the +Add new field button is not visible, that Group is fixed and additional Fields cannot be added.
After clicking +Add new field, you will be prompted to select the Field Type. Make your selection and populate the Fields, as needed.
* Additional customization options are available, but not required. These will be much easier to configure once your data has been imported.
Step 3: Configuring the Pipeline Card
If you are still in the section where you setup your Cover Page template, select Pipeline Card from the column on the left.
If not, select Settings in the upper-right corner > then Process Settings
Select Pipeline Card from the column on the left side
By selecting Fields from the Field List, this allows you to choose the visible data displayed on your project card within your pipeline view. As you add or remove Fields, the Preview section to the right will adjust accordingly.
To Add Fields to the Pipeline Card, click on Select a Field from the bottom of the list. Most Fields found within your Cover Page are selectable options as a visible field.
To Remove Fields from your Pipeline Card, click on the trash can icon next to the Field you no longer want to display.
Please Note: Deleting a Field from this list does not delete it out of Midaxo, it simply removes it from the visible data on your Pipeline Card
Step 4: Importing the Pipeline Tracker
Once the Stages, Cover Page template and Pipeline Card visibility have been set up to accommodate the Fields from your Pipeline Tracker, you are ready to import your data.
From the Pipeline view, click the down arrow in the upper-right side of the screen
When prompted, select the appropriate file from your computer to upload.
Across the top row, ensure that each drop down matches the Cover Page Field section. If it does not match, click on the drop down and choose the correct option. Fields without a match have either not been created in Midaxo, or go by another name within your Pipeline Tracker. Fields with errors will be highlighted in Red. Fields highlighted in yellow will be overwritten. Make sure to correct all errors before clicking Import to ensure all data ends up in the appropriate location.
Click Import
At this time, all data has been uploaded into Midaxo. Peruse your Pipeline in Midaxo and make any visual changes as needed. You are now ready to Create User Groups and Add in Users.
